Coaching Privacy Notice

What we collect when you book coaching with the Zaaheen Knowledge Centre, why we need it, who helps us run your booking, and your rights over it.

The short version

  • We collect only what we need to book, run and follow up your session, and to keep the records the law requires.
  • We never sell your data, and we never use what you share in a session to train AI.
  • Card details go straight to Stripe, our payment provider. We never see your full card number.
  • We do not record sessions.
  • You can ask to see, correct or delete your data at any time by emailing knowledgecentre@zaaheen.com.

What we collect

When you book

Booking form

Your first and last name, email address, phone number (optional), time zone, the session and time you choose, and what you want to get out of the session. You also tell us whether you would like emails about new sessions.

When you tick the box to accept our terms, we keep a record of it: the time, the wording you agreed to and its version, and your IP address and browser type. This is our proof of what you agreed to.

After you pay

Short questionnaire

After you pay, we ask a few questions so the coach can prepare: your experience with AI, the tools you use, and the real task you want to work on.

Please do not include health information, religious or political beliefs, or other sensitive details about yourself or anyone else. We do not need them.

In the session

Microsoft Teams

The session is live on Microsoft Teams. We do not record it. The coach may keep short notes to write your summary and to prepare any later session. Microsoft Teams keeps an attendance record (who joined and when), which we use as proof that a session took place or was missed.

Collected automatically

Our website

Your IP address, to protect the booking site from abuse (for example, too many requests at once). From Stripe, a record of your payment: the amount, date, the last four digits and type of your card, and whether it succeeded.

How we use it

Why, and on what basis

Our reasons
  • To book and run your session: arranging the time, the meeting link, confirmation and reminder emails, and your summary. We need this to carry out our contract with you.
  • To take payment and keep accounts: invoices and payment records. The law requires us to keep these.
  • To handle problems: moving sessions, refunds, complaints, and answering a bank dispute with the record of what you agreed to and whether the session took place. This is our legitimate interest in defending ourselves.
  • To keep the site secure: IP addresses to stop abuse. This is our legitimate interest in protecting the service.

You need to give us your booking details to book. Everything else is optional.

Emails about new sessions

Only if you ask

We email you about new sessions and offers only if you tick the box for it. It is never ticked for you. Every such email has an unsubscribe link, or you can email us.

What we never do

Never

We never sell your data or share it for advertising. We never use your questionnaire answers or anything you show us in a session to train AI. We make no decisions about you by automated means.

Who helps us

Our service providers

Under contract

These companies process data for us, only on our instructions and under data protection agreements:

  • Stripe: payments (see below).
  • Microsoft: Microsoft Teams for the session, our calendar, and sending emails.
  • Supabase: the database that holds your booking.
  • Hostinger: hosts the booking website.

We may also share data where the law requires it, or to deal with a legal claim.

Payments by Stripe

Payments

We use Stripe for payments, analytics, and other business services. Stripe may collect personal data including via cookies and similar technologies. The personal data Stripe collects may include transactional data and identifying information about devices that connect to its services. Stripe uses this information to operate and improve the services it provides to us, including for fraud detection and prevention, authentication, analytics related to the performance of its services, and to enhance and customize the user experience. Data outside your country

Safeguards

We are based in the United Arab Emirates, and our providers store data in other countries. Where data about someone in the UK or the EU goes to a country without an adequacy decision, each provider's agreement with us includes the standard contractual clauses approved for this (and the UK addendum). You can ask us for a copy.

Keeping and your rights

How long we keep it

No longer than needed
  • Bookings, payments, invoices and the record of what you agreed to: 7 years after the end of the tax year, as UAE tax law requires.
  • Questionnaire answers and coach's notes: 12 months after your last session.
  • A booking you started but did not pay for: 30 days.
  • Your choice about marketing emails: until you unsubscribe, and the record of your choice for as long as we may need to show it.
  • Security logs with IP addresses: a few days.

Cookies

One cookie

The booking site sets one cookie while you book. It holds your booking in progress and expires after 2 hours. The booking cannot work without it, so it needs no consent. We use no advertising or tracking cookies. Stripe's own pages set cookies to process payments and prevent fraud.

Your rights

Everyone

You can ask us to show you the data we hold about you, correct it, delete it, send it to you in a portable form, or stop or limit how we use it. Where we rely on your consent (marketing emails), you can withdraw it at any time. Some records we must keep by law, such as invoices; we tell you if that applies. We reply within one month.

Complaints

Us first, then a regulator

If you are unhappy with how we handle your data, please tell us first at knowledgecentre@zaaheen.com. We reply within 5 working days. You can also complain to your data protection regulator: in the UK, the Information Commissioner's Office (ico.org.uk); in the EU, the authority in your country; in the UAE, the UAE Data Office.
